USATF fee cliff lands 4 November

Registration for the Portland Annual Meeting runs at $385 a person until 4 November, then $435, inside an eight-night ballroom hold.

Two prices, one clock

USA Track & Field holds its 2026 Annual Meeting at the Oregon Convention Center from Thursday 3 December to Sunday 6 December. Registration runs at $385 per person until 4 November at 2:59 a.m. ET. It runs at $435 per person from 3:00 a.m. ET that day.

The step is $50 a head, or 12.99 percent. All sales are final. USATF answers the refund question on its own page with that line and no exception.

The fee starts the delegate's spend. The Officials Hall of Fame Banquet tickets sit at $80 and the Night of Legends tickets at $50, both bought through registration. A delegate who attends the meeting and both evenings commits $565 on the higher fee, or $515 on the lower one, before the room.

What the fee does to the booking calendar

Registration opened on 17 September at 10:00 a.m. ET. A current USATF membership is required to register and attend. A registrant receives a confirmation email carrying the link to the hotel booking site. That link is the only route into the block.

USATF states the rule plainly. Anyone who books a room inside the block without a completed registration has the room cancelled.

The block and the wait list

USATF has secured discounted blocks at the Hyatt Regency Portland at the Convention Center and the DoubleTree by Hilton Portland. A delegate must use the provided link to receive the discount.

When the block sells out, the travel department starts a wait list and posts overflow options on the JTeam Management booking site. Registrants may also book nights before and after the meeting, subject to availability, and settle those nights themselves.

Eight nights of ballroom for four days of sessions

The Convention Center holds the Oregon Ballroom from 29 November to 7 December. The sessions run 3 to 6 December. The venue booking carries the build days at the front and the load-out at the back.

Credentials are collected at the Convention Center from Wednesday afternoon, 2 December. Registrants collect their own and nobody else's. A delegate who wants the credential before Thursday's Opening Session takes the Wednesday night.

The clocks inside the four days

Daily programming runs 8:00 a.m. to 5:00 p.m. The Opening Session runs on Thursday 3 December at 5:00 p.m. The Officials Hall of Fame Banquet runs on Friday 4 December at 6:00 p.m., with tickets at $80 through registration. The Awards Breakfast runs on Saturday 5 December at 6:30 a.m. The Night of Legends runs the same evening at 6:00 p.m., with tickets at $50. The Closing Session runs on Sunday 6 December at 8:00 a.m.

Opening Session, Awards Breakfast and Closing Session are open to all attendees at no charge. A credential is required at every meeting.

Saturday's breakfast at 6:30 a.m. holds the guest in the room on the Friday night. Sunday's 8:00 a.m. close puts the departure on Sunday morning. The last room night is Saturday 5 December. The Convention Center holds luggage on Sunday for delegates leaving straight to PDX after the Closing Session.

The pass at credential pickup

USATF runs no transport from PDX to the host hotels and no service between the hotels and the Convention Center. Every registrant receives a five-day unlimited MAX Light Rail pass at credential pickup. The pass covers the trip in from PDX and the return. PDX to the Convention Center takes about 30 minutes on MAX, and the Convention Center to downtown about 10.

Distance to the hall still enters the booking decision. The MAX ride answers the airport leg and the walk answers the rest.

The revenue calendar

17 September to 3 November: registration at $385, block open to registrants only.

4 November at 3:00 a.m. ET: the fee moves to $435.

2 December: credentials available from the afternoon, and the first room night.

3 to 6 December: sessions, banquets and the Closing Session.

5 December at 3:00 p.m. ET: online registration closes. USATF permits no in-person registration, and a latecomer arriving before that hour completes the form online.

5 December: the last room night.

7 December: the ballroom hold ends.

Where the shoulder nights sit

The venue holds eight nights for four session days. The delegate market needs four of them, the nights of 2, 3, 4 and 5 December. The build window carries the crew the meeting brings, and the 6 December night is the one the programme leaves open.

Price the Tuesday and the Sunday night separately from the four core nights, and hold the inventory that the block can release back.

What the desk does with the date

Put 4 November in the booking script. A delegate who calls before it hears the $385 fee and the block route. A delegate who calls after it hears the $435 fee, and the difference is the cheapest argument the desk holds for booking the room on the same call.

Ask for the registration confirmation when a guest requests the block rate, because the block cancels a room booked without one.

Record the arrival night against the 2 December credential window and the departure against the 6 December close, and quote the extra nights as availability allows. USATF permits them on both sides of the meeting.
