The Night the Race Clock Fixes
The Monumental Health and Fitness Expo takes Exhibit Hall A-B at the Indiana Convention Center on 6 November 2026. The venue forecasts 20,000 attenders. The expo is the packet pickup for the CNO Financial Indianapolis Monumental Marathon, Half Marathon and 5K. Race morning is Saturday 7 November.
The organiser publishes every clock a front desk needs. Gear check opens at 6:30 a.m. at Washington Street and West Street. The half marathon and the full marathon start at 8:00 a.m. The 5K starts at 8:40 a.m. The course closes at 3:30 p.m.
An 8:00 a.m. gun puts the load on the Friday. A participant standing at Washington and West at 6:30 a.m. on Saturday held a room in the city on Friday 6 November. The expo's Friday window runs 11:00 a.m. to 8:00 p.m. A Friday arrival can collect a packet. A Friday arrival is the last arrival that meets the gun.
The Arrival Curve, off the Published Windows
The expo publishes two collection windows, and they set two arrival nights. Thursday 5 November runs 4:00 p.m. to 7:00 p.m. Friday 6 November runs 11:00 a.m. to 8:00 p.m. A participant who collects on Thursday needs the Thursday night. A participant who collects on Friday needs the Friday night.
The organiser ties the two windows to the race. Every participant receives the official clear gear check bag at the expo on Thursday or Friday. That bag is the only bag accepted at gear check. Both collection windows therefore sit in front of one start line.
The registration state fixes the size of the field. General registration for all in-person distances is sold out, and limited charity entries are still available. The demand that reaches a front desk is at its published ceiling.
The district inventory sets the scale. The venue counts 7,100 hotel rooms in downtown Indianapolis and 4,700 rooms connected to the convention center by skywalk. A 20,000 forecast equals 10,000 rooms at two attenders per room, which is 140.8 percent of the downtown count. At three attenders per room the figure is 93.9 percent. At four it is 70.4 percent.
The Block Clock: 8 October and 22 October
Rooms run through the organiser's hotel block. The block is booked on the Passkey system and administered by the Visit Indy Housing Bureau. The organiser publishes the selection instruction: choose "Attendee" in the dropdown, and no access code is required. The bureau answers at housing@visitindy.com and 317-262-8191, Monday to Friday, 8:30 a.m. to 5 p.m. ET.
Four dates carry the block's shape. The first is Tuesday 29 September 2026, the deadline to assign guest occupant names to rooms held under one name. The second is Thursday 8 October 2026, the deadline to cancel without penalty. The organiser adds that a $25 cancellation fee applies per reservation cancelled after that date. The third is a window: new reservations and added nights run from 5 October to 16 October, with the date varying by hotel and subject to availability. The fourth is Thursday 22 October 2026, the deadline to modify an existing reservation through the Housing Bureau. The organiser states that reservations cancelled or no-shows after 22 October 2026 will be charged by the hotel. After that date a guest must contact the hotel directly for a change or a new request.
The two fixed dates split the block into three states. Through 8 October the block holds at no cost. From 8 October to 22 October the block releases at $25 per cancellation while the bureau still holds the modification desk. After 22 October the hotel owns the rate and the terms. A front office can date its rate fence against both clocks.
The Published Crowds Around the Friday
The venue's event calendar carries six bookings in November 2026. The NSTA fall convention holds the building from 4 to 7 November at a forecast 4,000, and the expo's Friday shares its date with the third day of that convention. The Midwest Healthcare Engineering Conference and Trade Show follows on 8 to 10 November at 600. The IU Health Leadership Development Institute runs 10 November at 2,200. The Percussive Arts Society International Convention runs 11 to 14 November at 5,200. The ASHA Convention runs 19 to 21 November at 13,500. The expo's own 20,000 forecast rests on the venue's event page, which carries the hall and the date.
What the Front Office Gets, and When
The Friday is the night to price. The Saturday morning is the operation. Gear check opens at 6:30 a.m. and the first start is at 8:00 a.m. The course closes at 3:30 p.m. A guest at the 6:30 a.m. gear check needs an early departure or a late checkout, and both sit outside a standard housekeeping sequence.
Three published points settle the front-office plan. The first is the 8:00 p.m. expo close on Friday, which leaves twelve hours to the 8:00 a.m. gun. The second is the 8 October cancellation date, the last no-cost point at which the block can be sized. The third is the 22 October modification date, the last date the bureau can move a name or a night. A hotel that dates its own release policy against those three points works from the organiser's published schedule.
