A Sunday Arrival Against a 900-Guest Forecast
The Gas Machinery Conference runs October 4 to October 7, 2026 at the Indiana Convention Center. The venue forecasts 900 attendees. The organiser, the Gas Machinery Research Council, publishes 1,100 attendees expected in its own stat block, alongside 100 or more exhibitors and 80 or more short courses, technical papers and technology updates.
Front office leads should plan the arrival wave for Sunday, October 4. Registration opens at the Convention Center registration desk at 2:00 p.m. for badge pickup and closes at 6:00 p.m. The opening reception runs from 5:00 p.m. to 6:30 p.m. in White River A-E at the JW Marriott. The desk and the lobby carry traffic across the same hour.
Freight Move-In Fills the West Dock on Sunday
Exhibitor move-in runs Sunday in two published windows, 8:00 a.m. to 5:00 p.m. and 1:00 p.m. to 4:30 p.m. Exhibit shipments route to the show decorator at the Convention Center dock on the west side of the facility.
The venue routes freight through the show decorator and takes packages only at its Ricoh Business Center. Those packages carry no skids or pallets, a maximum width of 34 inches, a maximum height of 82 inches and a maximum weight of 120 pounds, at a $10 fee per box. Crates and skidded items travel on four-wheel flatbed trucks, or on forklifts fitted with rubber bumpers and non-marking rubber-tired wheels. Crates and skids stay off carpet unless a non-marking dolly or pallet jack moves them. A crate bound for a meeting room cannot pass a 61-inch by 81-inch route. Expect compressors, engines and skid-mounted packages at the dock from Sunday morning, and the loading bays at the rear of the halls busy into the afternoon.
Doors Open at 7 a.m. and the Hall Runs to 6:30 p.m.
Monday, October 5 opens with breakfast at 7:00 a.m. in Wabash 2-3. Short courses and mini-short courses run 8:00 a.m. to 11:00 a.m. across six Convention Center rooms. Three of those rooms turn a mini-short course over at 9:30 a.m. and start a second one, which is the first hard reset of the week. The conference kick-off keynote and luncheon fills 11:00 a.m. to 1:00 p.m. in the White River Ballroom at the JW Marriott.
The exhibit hall opens Tuesday at 11:00 a.m. and carries a reception from 4:45 p.m. to 6:30 p.m. in Exhibit Hall A-B. Wednesday starts with breakfast with exhibitors in the hall from 7:00 a.m. to 8:00 a.m. and an exhibit hall lunch from 11:30 a.m. to 1:00 p.m. The last published function is the GMRC annual membership meeting in JW Marriott rooms 103 and 4, from 4:15 p.m. to 5:00 p.m. on Wednesday. Every one of those functions needs a room that was already turned around.
The Room Refresh Window Is Fifteen Minutes Wide
Monday carries three break windows at 9:15 a.m., 2:15 p.m. to 2:30 p.m. and 3:30 p.m. to 3:45 p.m. Tuesday carries a coffee break at 2:15 p.m. and a refreshment break from 3:30 p.m. to 3:45 p.m. Wednesday carries one from 9:45 a.m. to 10:00 a.m. Four of the six are published as fifteen minutes.
The venue facility guide states that rooms are refreshed once daily and that the client may not move furniture. The setup department, staffed by Teamsters Local 135, performs the room set, and a set change after the initial setup carries a four-hour minimum charge. Teamster labour sets rented space one to three days before the first contracted date, depending on prior occupancy. A mid-week change is a scheduled order, so place it early.
Two Zones, One Coffee Line
The programme splits between the Convention Center and the JW Marriott. Convention Center rooms in play are Wabash 1, Wabash 2-3, the Wabash West Foyer and rooms 120 through 128. The JW Marriott carries White River A-E, the White River Ballroom and rooms 103 and 4. A Tuesday evening function runs 6:00 p.m. to 8:00 p.m. at the Indiana Roof Ballroom, 140 W Washington St.
Five of the six published break windows name the Wabash West Foyer. The Monday 9:15 a.m. break names no location. The venue counts 7,100 downtown hotel rooms, with 4,700 connected to the Center by skywalk. The skywalks close around 11:00 p.m. and reopen around 6:00 a.m., and the venue calls that timing event-dependent.
The Week Around It Tightens
The venue calendar lists 12 events from 22 September to 15 October. The ISBA and IAPSS Annual Conference runs 5 to 6 October, inside the GMC week. The FullScale Symposium and the American Dental Association Scientific Sessions both run 8 to 10 October, two days after the close, and the Metal Treating Institute Furnaces North America runs 12 to 15 October. The three days before the GMC carry the MAPP Benchmarking and Best Practices Conference, the Association of Talent Development Core4 and ATD OrgDev, all 29 September to 1 October.
The official JW Marriott block has closed, and the Embassy Suites by Hilton Indianapolis Downtown courtesy block has closed. A courtesy block at the Fairfield Inn & Suites, 501 West Washington Street, is open at $179 plus tax a night and takes bookings through 25 September. The organiser sends attendees to the hotels directly once a block closes.
A 900-guest forecast equals 12.7 percent of the venue’s 7,100 downtown rooms on one night, and the organiser’s 1,100 figure equals 15.5 percent.
