The guarantee expired on 12 October
CANVAS 2026 runs 1 to 4 November at the Oregon Convention Center, and the venue books Halls A1-B-C from 30 October to 4 November. The organiser negotiated rates at six Portland hotels and set one deadline: "All reservations must be received by Monday, October 12, 2026, at 10 p.m. EST to guarantee availability and the listed discounted rates." That deadline has passed.
The ladder survives. The guarantee has gone. Requests were honoured first-come, first-served, and the housing page says so above the rates: "availability is not guaranteed".
The six-property ladder
The Hyatt Regency at the Oregon Convention Center, 375 NE Holladay St and across the street from the halls, runs $235 single, $235 double, $245 triple and $255 quad. Hotel Eastlund at 1021 NE Grand Ave, 0.17 miles out, runs $219, $229, $239 and $249. The Courtyard at 435 NE Wasco St, 0.29 miles, runs $224, $224, $234 and $244.
The Crowne Plaza at 1441 NE 2nd Ave, 0.43 miles, runs $209, $209, $219 and $229. The DoubleTree at 1000 NE Multnomah St, 0.46 miles, runs $205, $205, $215 and $225. Hilton Portland Downtown, 1.87 miles out with a free MAX pass, runs $184, $184, $194 and $204.
The range is $184 to $255, a gap of $71, or 38.6 percent of the cheapest single. Five of the six charge the same for a double as for a single, and Hotel Eastlund adds $10, which is 4.6 percent. A fourth guest adds $20 at five properties and $30 at the Eastlund, between 8.5 and 13.7 percent above that property's single rate. The ladder raises occupancy faster than it raises room revenue per guest.
Two cut-offs on one website
The housing page holds one date for this booking and the dates page holds another. The dates and deadlines page puts "Hotel reservation deadline" and "Hotel late cancellation deadline" on 7 October, with a note that up to two nights of room and tax can be charged for a cancellation after that date. The housing page sets 12 October at 10 p.m. EST. An attendee who read the deadline list stopped on 7 October. An attendee who read the housing page booked to 12 October.
Group blocks ran to a third date. Ten or more rooms had to be requested by 14 September, with confirmation in 7 to 10 business days, and after that date the page directs groups to book as attendees.
What the property holds now
The deposit terms outlive the deadline. Every reservation carried a credit card guarantee of one night's room and tax per room. The card was held and not charged, and the page states hotels "will charge the non-refundable deposit of one (1) night's room & tax on or after October 12, 2026", applied to the guest folio at check-in.
Cancellations were free from 1 May to 21 September and carried a $40 fee from 22 September to 12 October. After 12 October they "must be made through the hotel", and the one-night deposit is not refunded. A cancellation this week is a conversation with the property, and the property holds the money.
The organiser also names its housing vendor and closes the alternative. Orchid Events is described as "the only official housing provider for this event", with agents on 888-307-6880 from 7:00 a.m. to 5:00 p.m. MST on weekdays.
The lift case for a Sunday-to-Wednesday run
The meeting fills four days, Sunday 1 November to Wednesday 4 November, and the organiser's attendance page claims "4,000+ scientific innovators". Six contracted properties sit inside 1.87 miles. The page also discloses the structure an attendee's booking supports: the societies "commit to reserving a certain number of rooms with our partner hotels".
Run the 4,000 against the calendar. Four nights, Saturday 31 October through Tuesday 3 November, is a ceiling of 16,000 room nights. The run lands on Sunday, Monday and Tuesday, the three nights a Portland property discounts hardest. A district that takes a share of that demand sells midweek rooms it would otherwise leave open.
The leak case
Three published facts mark the inventory as soft. The guarantee is gone, so the ladder is a reference price and an attendee can book any property on any terms. The group route closed on 14 September, so a ten-person lab team now shops as ten individuals. The meeting ends on the Wednesday, so the Wednesday night belongs to delegates leaving on Thursday.
The ladder also points demand downtown. Its lowest rate sits at a property 1.87 miles from the halls, and the organiser attaches a free MAX pass to that entry. The property across the street carries the highest single on the list at $235 and asks $255 for a quad. A delegate choosing on price starts on the MAX line.
What front office should quote this week
Quote the ladder with its expiry, because the attendee is comparing a lapsed group rate against a live retail rate. Confirm the property's own cancellation term, because after 12 October the organiser's ladder no longer governs it. Expect the double-heavy pattern the rates invite: at five properties a second guest pays the same as the first, so a two-bed request is worth the same as a single occupancy unless the desk prices it otherwise.
Watch the middle of the run. Halls A1-B-C are booked through 4 November, and Tuesday 3 November is the last night of the core programme.
