The 2027 AAD Annual Meeting runs March 19-23 at Moscone Center, 747 Howard Street, San Francisco. The Academy publishes its hotel terms in full. A cancellation costs $100 per reservation until noon CT on Wednesday, February 24, 2027. After that clock the fee becomes one night's room and current sales tax. A one-night deposit posts Friday, February 26.
Front office and revenue teams get four dated events across the next five months. Registration opens November 18, 2026. The housing deadline lands February 24, 2027. The deposit posts February 26. The program opens March 19.
The cancellation ladder in published order
From the time of booking until noon CT on Wednesday, February 24, 2027, a cancellation costs $100 per reservation. The Academy applies the fee regardless of the reason or the method. From noon CT on February 24, the fee becomes one night's room and current sales tax per reservation.
The guarantee policy adds a second charge. Starting Friday, February 26, 2027, the hotel charges one night's room and current sales tax to the card on file. The Academy calls the deposit non-refundable. The charge applies to the reservation and appears on the final folio.
Two further terms sit beside that ladder. A no-show on the arrival date carries one night's room and current sales tax plus cancellation of the reservation. An early departure may carry a fee unless the guest confirms the departure date at or before check-in.
The change freeze runs February 25 to 28
The Academy accepts no changes and no cancellations between Thursday, February 25 and Sunday, February 28, 2027. Its own text gives the reason. Reservations are in transmission to the hotels across those four days.
Changes stay online until noon CT on February 24. From Monday, March 1, 2027 through the check-in date, the guest works with the hotel. Arrival and departure changes remain subject to the property's availability and policy.
One term catches any desk that re-accommodates a guest. A switch to a different hotel after Thursday, February 25, 2027 forfeits the one-night room and tax deposit.
The guarantee carries its own date test. The card on file must expire in March 2027 or later. A card that expires in February fails the guarantee.
The March pattern from the published clocks
The scientific program starts Friday, March 19, 2027 at 7:30 a.m. and ends Tuesday, March 23 at 12:15 p.m. A 7:30 a.m. Friday start puts the first occupied night on Thursday, March 18. A 12:15 p.m. Tuesday close puts the last occupied night on Monday, March 22. Tuesday becomes a departure morning.
The exhibit hall runs three days inside that five-day window. Hours are Friday and Saturday, March 19-20, from 10 a.m. to 5 p.m., and Sunday, March 21, from 10 a.m. to 3 p.m. The unopposed exhibit hour runs noon to 1 p.m. on all three days. The hall sits on the Lower Level of the North Building and holds more than 300 exhibiting companies.
Exhibitor installation starts Monday, March 15 as target move-in. It continues Tuesday and Wednesday from 8 a.m. to 5 p.m. and Thursday, March 18 from 8 a.m. to 6 p.m. All installation must finish by 5 p.m. Thursday. Display space not claimed and occupied by 2 p.m. Thursday may be reassigned without refund. Exhibitor registration runs Wednesday from 10 a.m. to 4 p.m. and Thursday from 8 a.m. to 5:30 p.m.
That schedule adds supplier nights ahead of the clinical arrival. Exhibitor installation begins four days before the program opens.
What the meeting does not publish
Aad.org carries no nightly rate and no block property list on its meeting pages. It names the San Francisco Marriott Marquis as the headquarters hotel on the affiliate group page. The meeting's advertising rate card groups eight San Francisco properties as its top eight. They are San Francisco Marriott Marquis, Hilton San Francisco Union Square, Westin St. Francis, Parc 55, Grand Hyatt San Francisco, Intercontinental San Francisco, Hyatt Regency Downtown SOMA and Hotel Nikko San Francisco. Rate and inventory data for the block stay inside the housing system.
The registration ladder that feeds the block
Registration opens November 18, 2026 at noon CT for physician, life and honorary members. All remaining categories open November 24 at noon CT. Early-bird registration ends February 17, 2027 at noon CT. Session purchases become non-refundable at that same clock.
Registration cancellations carry a separate ladder. A notice sent before noon CT on Tuesday, March 16, 2027 is refunded minus a $100 fee, or $25 for Medical Student and Guest registrations. A notice after that date gets no refund. The Academy applies the same rule to no-shows.
For a front office the sequence is short. Hold February 24 as the cut-off for a cancellation request at $100. Expect the deposit charge on February 26. Expect no accepted change between February 25 and February 28. Take the change directly from March 1.
